Simple, Transparent HVAC Pricing

We built a focused quoting tool instead of an all-in-one platform. Eliminating features that small HVAC shops don't need—cheduling, dispatch boards, payroll—lets us price aggressively. Our target segment (1–15 tech shops) was structurally abandoned by incumbents optimizing for mid-market contracts. Price is not a proxy for capability.

**Key difference:** Housecall Pro and Jobber price their quoting-only tiers higher and bundle GIS, CRM, and scheduling tools you may not use. We charge for what you need—accurate quotes, fast.

Customer pricing data is encrypted at rest (AES-256) and in transit (TLS 1.3). We do not use your quote data to train AI models or share it with third parties. Data residency defaults to US regions; EU and CA regions are available on Business plans.

For shops handling municipal or government contracts, our audit-logged proposals provide an immutable record trail. This is a documented requirement in jurisdictions where prevailing wage documentation applies to public-sector HVAC projects.

HVAC Quote Genie uses a fine-tuned language model to parse system-type inputs, square footage, and equipment specifications into line-item proposals. The model references your configured pricing database—hourly rates, markup percentages, part costs—to generate a draft quote in 15–45 seconds.

You review and approve before sending. No quote goes to a customer without human review. This is by design: it keeps you legally responsible for your pricing while eliminating the manual data-entry step that slows manual tools.

The pricing database updates on Business plans refresh parts costs from distributor feeds weekly. Starter and Pro plans support manual database updates via CSV upload or interface entry. Price-change notifications alert you when a line item shifts above a configurable threshold, so you catch cost spikes before they appear in quotes.

This is a documented pain point for shops that rely on published distributor catalogs. Price drift between quote date and job completion is a known margin erosion source, and proactive updates directly address it.

Standard setup runs 2–4 hours: pricing database initialization (import or manual entry), quote template customization, and team invite. We provide a guided setup wizard and onboarding email sequence. Chat support is available for setup questions.

For Business plan customers, the dedicated account manager handles configuration and database seeding as part of onboarding. This is included in the plan price. The expectation is that shops with 5+ technicians benefit most from hands-on onboarding; solo operations typically self-serve.

Monthly plans have no minimum term. Cancel any time—no contracts, no penalties. Plan downgrades take effect at the next billing cycle. Upgrades apply immediately and are prorated to the day.

We do not lock in annual billing to reduce churn. The 14-day free trial applies to any plan. Annual billing is offered as a cost-reduction option (one month free) for shops that want guaranteed pricing for 12 months—not as a lock-in mechanism.

Current version targets single-location operations. Multi-location management is on the roadmap for Q3 2025 and will be released as a Business+ tier. Franchise arrangements where each franchise operates under separate ownership are outside current scope. Each subscription is per legal entity.

Your data exports at any time. Quote history, customer records, templates, and pricing databases are downloadable as structured CSV and JSON. PDF copies of sent quotes are retained for audit purposes. We do not hand your data to competitors or use export limitations as retention leverage.

Exit documentation—schema, export format, field mappings—is available on request. This is a standing offer, not a one-time favor. Audit-friendly portability matters for regulated-industry buyers; we treat it as a first-class feature.
